Financial Administrative Assistant

The Native Women’s Centre is hiring an Administrative Assistant to oversee and coordinate office administration, financial and some human resources duties. Reporting to the Executive Director, the Administrative Assistant will perform a number of administrative duties to support the operation of this community-focused non-profit organization.

Responsibilities:

– Prepare monthly and quarterly financial and statistical reports as required by funding agencies

– Gathers required financial data for auditor for completion of annual audits

– Codes incoming invoices and applies GST to appropriate accounts for Executive Director

– Prepares monthly invoices and posts to revenue account

– Accounts receivables collection; bank deposits; accounts payable; cheques; posting, filing

– Collects and prepares monthly information for program reports as required

– Track and manage funding approvals from all agencies through statistical and financial reports

– Performs recruitment tasks through community, various agencies, job boards, etc.

– Screens job applications; prepares interview packages; reference checks; onboarding forms

– Manages on-line timesheet system; processes leave requests; maintains employee files

– Other duties as assigned

 

Qualifications:

– Post-secondary diploma in business or public administration is an asset

– 2-3 years of accounting/bookkeeping and office administration experience

– Must have knowledge of Sage software and some financial background

– Sound knowledge of AP/AR, invoicing and preparing financial documents is required

– Advanced computer skills in Word, Excel and the ability to learn new software programs

–  Strong organizational skills and the ability to multi-task is essential

– Knowledge of time-keeping systems for attendance and leaves is desirable
